Rather than purchase new servers, which would require ongoing maintenance and a complicated network setup, we migrated services to Microsoft Azure Virtual Desktop (AVD). This provided a stable and secure environment, with no large up-front costs. We then completed office moves for both Manchester and Lincoln offices, implementing new networking and Wi-Fi solutions. Our technical solutions included: Migrating Sage50 to a Virtual Server, accessible via the AVD Enrolling all devices into Microsoft Intune and deploying Microsoft Defender. Security was further enhanced with use of conditional access and Intune security policies. Firstly, it’s a good idea to check which Microsoft 365 license you have – Business Basic, Business Standard, or Business Premium. There are a couple more variations, but these three are the main license packages, and you’ll likely have one of these more than any other. Microsoft introduced the New Commerce Experience (NCE) a couple of years ago, which is designed to save you money on your licenses when you commit to an annual contract. Defender For Business: The BestAntivirus You Don’t Know About I know what you’re all thinking – doesn’t Microsoft Defender suck? We get it, the Defender that most people are familiar with comes pre-installed with Windows and, historically, wasn’t ever the best choice compared to alternatives like Norton or McAfee. As you might’ve guessed, Microsoft Defender for Business is a sophisticated antivirus and security application (but honestly, that’s underselling it). Defender for Business is aimed at (drum roll please) businesses with anything up to 300 employees, and offers comprehensive protection against a multitude of different threats, including malware, ransomware and phishing attacks. But that’s not all, Defender for Business can proactively identify risks by uncovering the weak points in your security, while also providing you with the necessary steps to fix said weaknesses. Defender for Business also offers what’s called Endpoint Detection and Response (or EDR, for short). This begs the question, what does any of that mean? Well, put simply, EDR actively monitors and analyses activity on all of your devices, and identifies anything that might be suspicious. From this, Defender will respond to the potential threat, block it, notify you, and provide recommended steps to fix the issue (like deleting that program that the pop-up said would definitely double your laptop’s RAM). Furthermore, EDR will provide a recording of the attack, which can then help your administrators identify how, and why, the attack happened, giving your business the opportunity to put policies in place to prevent a similar attack in the future. If you’re a Microsoft 365 Business Premium user, then you might’ve heard of a little program called “Intune” – and if you haven’t, then you should take another look, because Microsoft Intune is actually one of the best security tools on offer to businesses. https://vimeo.com/1060924794?fl=pl&fe=sh So, What Is Intune? Microsoft Intune is a tool that helps businesses manage and secure company devices, applications, and data. As mentioned before, if you’re a Microsoft 365 Business Premium User, then you’re already paying for it as part of your package – so you might as well use it, eh? In short, Intune allows for the management of company devices, as well as personal devices that access company data, to ensure that said data is secure and protected, no matter what device its accessed from. Intune is compatible with almost all modern devices, including Windows (obviously, it’s Microsoft after all), MacOS, Android & iOS. This is referred to as Mobile Device Management (or MDM for short!) How Does Intune Work? As well as MDM, Intune also uses Mobile App Management (MAM), which means that you can deploy and manage the apps that your staff access. Intune allows you to publish, push, configure, secure, monitor and update apps for your staff. You can also enforce security and access controls to ensure that nobody has access to any apps or data that they shouldn’t. What Is SharePoint? Everyone needs file storage, whether that’s on a local server hidden in a cupboard at the back of your office, or via a cloud service like Google Drive, Dropbox or OneDrive – no matter what your current setup looks like, here’s why we think you should make the switch to Microsoft SharePoint: But First – What Is SharePoint? https://vimeo.com/1055556197?fl=pl&fe=sh Before we get into the benefits of SharePoint, I can already hear the keyboard clacking as you (yes, you) get ready to type out “But isn’t SharePoint just a fancy Intranet?”. To which I’d say you’re right! SharePoint is a fancy Intranet, but it’s also so much more… SharePoint acts as the backbone for Microsoft 365 storage, including storing data from OneDrive, Teams, Loop, and more recently, Microsoft Copilot (that’s my obligatory AI mention done for the day). SharePoint is so adept at handling storage, that a lot of businesses (including us!) are using it as a replacement for expensive traditional file servers. That is to say, of course, that SharePoint can still be used as your company Intranet, and a hub for your Organisation’s members to access new items, policy documents and general company information. The limit is your imagination. The best part? If you’re a Microsoft 365 user then you probably already pay for SharePoint, and all you need is a little help to get it up and running. Why Should You Use SharePoint? Aside from the aforementioned fact that you’re probably already paying for it so may as well get your money’s worth – SharePoint comes with a bundle of benefits. It’s far cheaper to run than a physical file server: SharePoint stores data in the cloud, meaning that there’s no need to have big physical servers that need constant power and take up space in your office, which might just reduce your operating costs by a hefty chunk. It’s quick and easy to replicate your old file structure – or start fresh! Don’t worry, we’ve seen our fair share of messy file spaces, whether it’s a file called “Client Proposal 2.0 Final Finished For Real This Time.docx” or a folder called “sdssjdkdlfkdldks” that you swore was only temporary. Switching to SharePoint provides a great opportunity to start fresh with a neat and tidy file structure – or to stick with your current structure if that’s what works for your business Work collaboratively, and securely: With SharePoint, multiple people can work on a file at the same time, leading to easier collaboration, even with those who are working from home. Additionally, access to files can be restricted using security groups, as well as via the security settings deployed as part of your Microsoft 365 tenancy, including controls like Multi-Factor-Authentication. Work from any device, even offline: SharePoint works with practically any device, including Windows, MacOS, Android and iOS. On Windows and Mac, you can even work offline at the press of a button, by syncing your SharePoint files with OneDrive. Consistent new features and updates: Microsoft is committed to innovation and improvement of the SharePoint platform – in fact, just recently Microsoft announced Copilot integration with SharePoint, bringing the power of AI to your files. Customisable Looks: Out of the box, SharePoint may seem a little limited in how far you can customise it’s looks. However, there’s a bunch of different templates available to quickly and easily improve SharePoint’s looks. Additionally, you can add your company’s logo and brand colours to make SharePoint feel more like your own system. You might be thinking that some of these points sound similar to OneDrive – and you’d be right again (look at you go!). We can help get you started with migrating your data over to SharePoint – get in contact here if you’d like some more info. Before you undergo a migration to SharePoint, there’s some things to consider which can make a migration smoother. Like mentioned before, a good question to ask is whether or not your current file structure is meeting the requirements of the business, and whether now would be a good time to reorganise and start a fresh, neat, new structure. Another good question is whether your security policies would allow staff to synchronise company data with their machine, or whether it would be better to force people to use the web version of SharePoint instead – it may also affect the data, as features like metadata tagging aren’t available for data synchronised via OneDrive, but are supported in the web version. Additionally, data retention may be a factor in some use-cases. As standard, when a file is deleted from SharePoint it is retained in the “trash” for just over 90 days, and then is lost forever. There are 3rd party services, as well as an official Microsoft backup tool which can alleviate this, but they may come at an extra cost. Finally, it’s a good idea to check definitively whether or not you’re already paying for SharePoint, and how much storage you have – SharePoint is included in Microsoft 365 Basic, Standard and Premium packages, so chances are it’s already included in what you pay for, but it’s worth a check just in case. Out of the box, SharePoint comes with 1TB of storage available, plus an extra 10GB per user licence you purchase as part of your tenancy. Microsoft Copilot Wave 2: Here’s What You Need To Know Earlier this week, Microsoft announced and released Wave 2 of their ever popular Microsoft Copilot, their AI assistant built off the back of Chat GPT. Microsoft claims that Copilot has the fastest adoption rate of any of their Microsoft 365 suite, and that, at one company they surveyed, Copilot users saved 92 minutes per week on average when using the AI tool. They also claim that, since general release, Copilot has doubled its speed in terms of responses, and that response satisfaction has tripled. It is changing every day, both as users get to know it and as it starts to adapt to things like writing style, common prompts etc. With wave 2, Microsoft has released a host of new features and uses; some are small tweaks, some are game-changing new tools. Tips And Tricks For Microsoft Copilot Copilot In Web The version of Copilot that exists in the web has been granted some big new features – the biggest? BizChat Accessible right now at this web page to those with a Copilot licence (and coming soon to the free version of Copilot), you’ll find what Microsoft dubs “The UI for AI“.BizChat is an interface that allows you to talk to Copilot as you already have been, but now with access to your company’s files and data, turning your organisation’s data into “a rich database of information and insight” and allowing you to collaborate with Copilot like never before. You’ll see a toggle at the top of the page, toggling between “Work” and “Web” – switching it to work mode gives you the features of BizChat. This is then taken even further with the other big feature – Pages.‘Pages’ is a digital canvas allowing you to collaborate with other members of your organisation, without leaving your Copilot chat. You can talk to Copilot and drop it’s responses onto the collaborative page, where everyone with access to the page will be able to see them. Users of Microsoft Loop may find the interface familiar, as it’s a similar concept to a Loop page, with the added benefit of Copilot. Copilot In Teams Copilot within Teams hasn’t received any major feature drops. Instead, Microsoft has chosen to make small improvements to the functions that already exist – namely, when asking Copilot to summarise a recorded meeting, Copilot will analyse the meeting chat as well as the transcript, leading to better and more comprehensive summaries. You can also now ask Copilot to find any unanswered questions or actions from the meeting, so that its ability to read the meeting chat gets put to good use. Copilot In Outlook The biggest new feature for Outlook is the ability for Copilot to now prioritise your inbox. With just one prompt, Copilot analyses your inbox based not only on the content of the emails you’ve received, but also on your role within the organisation, including who you report to and the email threads you’re actively respondent in. Coming soon in a future update, you’ll be able to teach Copilot what topics, keywords, and contacts that are important to you and you’re role, and Copilot will be able to prioritise emails that fit your criteria. Some smaller updates to Copilot’s functionality in Outlook, specifically the mobile version, include the ability to suggest and choose what tone you want a reply to be generated in, making replying to emails with Copilot even easier and more convenient.Also, Copilot will suggest multiple different responses in some cases, and you can choose whichever you feel most appropriate and edit from there (or ask Copilot to tweak certain parts, if you’re so inclined). Copilot In OneDrive Similarly to Teams, OneDrive hasn’t received much in the way of feature drops – but the one it has received could come in handy for its messier users! Copilot can now compare files, meaning that finding the latest file version that’s hidden in a random folder with a random date is now much easier. Copilot will compare two files and tell you what the differences in content are – going one step further than just comparing the files’ metadata to determine which is the latest version. Copilot In Excel The big news is that Copilot in Excel is now generally available! Previously, Copilot for Excel was only in public preview, and (in our experience) wasn’t as reliable as the rest of the Microsoft 365 suite, but now the full version is out for everyone with a Copilot licence to use. Another big change is that, unlike in the preview, you can now ask Copilot to analyse data that hasn’t been formatted into a table, lifting one of the biggest restrictions from previous versions. What has now entered preview, however, and isn’t available generally, is Copilot’s ability to generate Python code and insert it into your Excel sheets.Now, anyone can work with Copilot to conduct advanced analysis like forecasting, risk analysis, machine learning, and visualizing complex data, all without knowing Python (or so Microsoft claims). As previously mentioned, this feature is in preview, so may not be fully reliable just yet, and likely won’t be available to most users. Copilot in Excel with Python will become generally available in a future update, likely with Copilot’s wave 3 release. SharePoint Vs. Azure Last month, we gave you an overview of a couple of Microsoft’s cloud storage solutions, SharePoint and OneDrive, to see which one makes the most sense for your business. Today we’re back to do it again. The contenders this time: SharePoint Vs. Azure Files First: A Recap Of SharePoint. SharePoint is designed as a business collaboration tool and content management platform, and gives the user the ability to control access to information and files, making it ideal for larger organisations with more complex needs.
